Assign roles and permissions to Authors
Roles determine what each Author can do in your account — from drafting Editions in a single Folder to sending Broadcasts, managing subscribers, and administering other users. Assigning the right role keeps access aligned with each person's responsibilities and protects your sending reputation.
Before you begin
- You need an administrator role that includes user management.
- Confirm the person already has an account. If not, invite them first (see Related).
- Decide the scope they need: which Project Folders they should reach, and whether they should be able to send Broadcasts or only draft Editions.
- Review the roles available in your account. Names and the exact set of permissions are configurable, so (confirm the exact roles and labels in your account).
Steps
- Open the account or user administration area and find the Author you want to update.
- Open their profile or membership settings.
- Select the role that matches their responsibilities (for example, a drafting-only role versus a role that can send Broadcasts).
- If your account supports Folder-level access, choose which Project Folders the Author can see and work in.
- Save your changes. The Author's permissions update on their next sign-in (confirm the exact steps in your account).
Result
The Author now sees only the Folders, Editions, and actions their role allows. Ask them to sign out and back in, then confirm they can perform the tasks they need — and cannot reach anything outside their scope.
